1. Overview
These Terms and Conditions ('T&C') govern specific transactional, operational, and conduct-related rules applicable to all interactions on the Campus Scene Platform. They supplement the Terms of Service and Privacy Policy and should be read together with those documents.
2. Event Listings & Approval
- All event listings are subject to Admin approval before going live on the Platform.
- The Company reserves the right to reject, take down, or modify any listing that is misleading, incomplete, in violation of policies, or reputationally harmful.
- Event details including event type, venue, date, entry fee, participant limits, club member pricing, and certificate eligibility must be accurately stated at listing time.
- Organizers may not alter entry fees, format, or prize/certificate structure after participants have registered without obtaining the consent of registered participants.
3. Registration & Ticketing
- Registrations are confirmed only upon successful payment (where applicable) and issuance of a QR-coded digital ticket.
- QR tickets are non-transferable unless explicitly permitted by the Organizer.
- Student registrants must use their verified institutional email or USN where required for eligibility verification.
- The platform convenience fee is non-refundable under all circumstances.
- Free events do not attract a convenience fee. Organizers may configure free registration without payment gateway involvement.
4. Club Membership & Member Pricing
- Club enrollment is subject to Organizer approval. Membership status is validated server-side at the time of event checkout.
- Member-based pricing discounts are applied only to users whose membership is verified and active at the time of registration.
- Organizers may revoke club membership, which may affect future event pricing eligibility but does not retroactively affect existing registrations.
- Club member badges are displayed on user profiles as a recognition feature and carry no monetary value.
5. Refund & Cancellation Policy
5.1 User-Initiated Cancellation
Refund eligibility for user-initiated cancellations is determined by the Organizer's stated refund policy at the time of registration. The convenience fee is non-refundable.
5.2 Organizer-Initiated Cancellation
If an Organizer cancels an event, all registered participants are entitled to a full refund of entry fees. The Company will process such refunds within 7–10 business days from confirmed cancellation notification. Organizers who cancel events without adequate cause may be suspended from the Platform.
5.3 Platform-Initiated Action
If the Company takes down an event due to policy violations, participants will be refunded. Commission or platform fees may be forfeited by the Organizer.
6. Certificates
- Digital certificates are issued through the Platform's certificate engine based on eligibility criteria configured by the Organizer.
- Certificates carry the Organizer's details and are generated on Platform infrastructure. The Company does not independently verify certificate authenticity or the accuracy of Organizer-configured criteria.
- Organizers are solely responsible for the accuracy of certificate templates, eligibility rules, and recipient lists.
- Certificates issued in error due to incorrect Organizer configuration are not the liability of the Company.
- Fraudulent use of certificates (including misrepresentation of participation) is prohibited and may result in account suspension.
7. QR Ticketing & Entry
- QR-coded tickets are validated at the venue by Organizer-designated staff using the Platform's ticket scanner.
- Each QR code is single-use and invalidated upon successful scan.
- Users must present a valid QR ticket for entry. The Company is not liable for entry denial due to technical failures outside Platform control.
- Duplicate or counterfeit QR tickets will be rejected, and the associated account may be suspended.
8. Data Rights & Platform Analytics
By using the Platform, you grant the Company a perpetual, irrevocable, worldwide, royalty-free right and license to:
- Collect, process, analyze, and store all data generated through your use of the Platform, including registration data, event participation, attendance records, behavioral data, payment flows, and communications.
- Use aggregated and anonymized data for commercial analytics, benchmarking, research, and third-party reporting.
- Build internal models, algorithms, and datasets using Platform-generated data for product development and business intelligence.
- Share or license aggregated insights (not raw personally identifiable information) with sponsors, educational institutions, and partner organizations.
- Feature organizer event results, highlights, and statistics in Platform marketing, press releases, and promotional materials.
The Company will not sell raw, individually identifiable personal data to unaffiliated third parties for their direct marketing without your explicit consent, in accordance with the Digital Personal Data Protection Act, 2023.
9. Prohibited Conduct
The following are strictly prohibited and will result in immediate account suspension and potential legal action:
- Creating fake accounts, fake events, or impersonating other users, clubs, or institutions.
- Fraudulent ticket generation, duplication, or transfer in violation of Organizer rules.
- Obtaining or claiming certificates for events not attended or completed.
- Unauthorized scraping, crawling, or extraction of Platform data.
- Circumventing the Platform's payment system to transact directly and avoid convenience fees.
- Uploading or distributing malicious software, spam, or unauthorized advertising.
- Any activity that violates Indian law, including the IT Act, IPC, or DPDP Act, 2023.
10. Organizer Access Control & Staff
- Organizers may grant platform access to staff including Volunteers, Ticket Scanners, and Faculty. Each role has defined module-level permissions.
- Organizers are solely responsible for the actions of their designated staff on the Platform.
- Staff and faculty accounts must be deactivated promptly when no longer required.
- The Company is not liable for unauthorized actions taken by Organizer-designated staff or faculty.
11. Platform Availability & SLA
The Platform is provided on an 'as-is' and 'as-available' basis. We do not guarantee 100% uptime or uninterrupted service. Scheduled maintenance will be communicated in advance where possible. Emergency maintenance may occur without notice. The Company is not liable for data loss or business impact resulting from platform downtime or technical failures.
12. Governing Law & Contact
These T&C are governed by the laws of India. Any unresolved dispute shall be subject to arbitration in Bengaluru as specified in the Terms of Service.
