By creating an account or using any part of the Platform, you agree to the terms of this Privacy Policy. If you are accessing the Platform on behalf of an institution, club, or organization, you represent that you have the authority to accept this Policy on their behalf.

2. Information We Collect

a. Personal Information

We may collect the following when you register or use the Platform:

  • Full Name
  • Email Address
  • Password (encrypted and hashed)
  • Phone Number
  • Date of Birth (if required for age-restricted events)
  • University / College Name
  • USN / Student Roll Number (for student accounts)
  • Department and Year of Study

b. Event & Activity Data

  • Event registrations and ticket purchase history
  • Club membership and enrollment records
  • Certificates earned and issued
  • Attendance records (for Faculty-verified events)
  • Volunteer participation records

c. Usage Data

  • IP address and device type
  • Browser type and version
  • Pages visited and actions taken on the Platform
  • Session duration and navigation patterns

d. Payment Data

Payments are processed through third-party gateways. We do not store payment card or UPI instrument data. We retain transaction metadata (amount, event, timestamp, UTR) for financial records and dispute resolution.

3. How We Use Your Information

We use the collected information to:

  • Create and manage student, organizer, and faculty accounts
  • Process event registrations, ticket issuance, and QR-coded passes
  • Issue and verify digital certificates for event participation
  • Track club memberships and apply member-based pricing
  • Enable faculty to track student attendance at events
  • Send event reminders, notifications, and platform communications
  • Process payments and manage refunds
  • Improve platform features, performance, and user experience
  • Conduct analytics, business intelligence, and product development

4. Sharing of Information

a. Publicly Visible Information

Student names, event participation history, certificate records, and club memberships may be visible to other users including organizers, club administrators, and faculty within the Platform.

b. Organizers and Clubs

Event organizers and club administrators may access participant details, attendance data, and certificate eligibility information for the events and clubs they manage.

c. Faculty

Faculty accounts have access to student names, USNs, and attendance records strictly within the scope of events and colleges to which they are assigned.

d. Service Providers

We may engage third-party service providers for hosting, analytics, email delivery, and payment processing. These providers access data only as necessary to deliver their services and are bound by confidentiality obligations.

e. Legal Requirements

We may disclose personal data if required to do so by law, court order, or government authority, or to protect the rights, property, or safety of the Company, our users, or the public.

5. Data Rights Under the DPDP Act, 2023

In accordance with the Digital Personal Data Protection Act, 2023 and applicable Indian law, you have the right to:

  • Request correction or updates to inaccurate data
  • Request erasure of your data (subject to legal retention obligations)

Campus Scene is intended for use by college students, educational institutions, and event organizers. Users under the age of 18 may access the Platform, provided that a parent, guardian, institution, or faculty member has provided appropriate consent on their behalf. We do not knowingly collect data from children under 13 without verified parental or institutional consent.

8. Data Retention

We retain your information for as long as:

  • Your account is active on the Platform
  • Needed to maintain event records, certificates, and transaction history
  • Required by applicable law or regulatory obligations

Upon account deletion, personal data is anonymized or removed in accordance with our retention schedule, subject to legal hold requirements.

9. Third-Party Links

The Platform may contain links to third-party websites, payment portals, or external content. We are not responsible for the privacy practices of those third parties and encourage you to review their respective policies.
